New Behavioral Health Hospital in Boise, Idaho

Haven Behavioral Healthcare is proud to announce the opening of a brand new 
72-bed facility located at 2131 S. Bonito Way. This facility will greatly improve access 
to inpatient behavioral healthcare in the Treasure Valley and surrounding communities.

SENIOR ADMINISTRATIVE ASSISTANT

Anticipated start date - August 2018


POSITION SUMMARY:

                 Provide administrative support to the facility CEO, President/COO and CFO and other facility department leaders, requiring a high degree of professionalism and discretion. Responsible for day-to-day office operations.

ESSENTIAL DUTIES:

  • Assist CEO in managing their daily calendar, creating access and protecting work flow; Medical staff and Administrative calendar coordination and distribution. Serve as a liaison between departments to facilitate communication.
  • Answer and direct incoming facility calls; Sort and deliver mail and shipments; Maintenance work order log and management.
  • Make travel arrangements, including coordinating flights, accommodations and other itinerary specifics.
  • Prepare and process expense reports in a timely manner.
  • Research and maintain preferred hotel and car rental relationships and communicate to travelers.
  • Sets-up meetings for larger groups, copying, scanning and other related tasks for departments within the organization.
  • Assist in planning programs, events, meetings, and team-building activities; Manage on-going charitable contributions/programming. 
  • Maintain office, mailing, shipping and kitchen supplies by checking stock to determine inventory level; anticipating needed supplies, placing orders for supplies; verifying receipt of supplies; Assist with purchase orders and supplies; Coordinate/schedule deliveries; Maintain inventory log
  • Prepare reports, presentations, and data, as well as maintaining files, minutes, records and correspondence; Maintain organizational charts and phone lists.
  • Train, manage and supervise, front desk, receptionists. 
  • Be familiar with and able to supervise staff who initiate the patient registration process.

EDUCATION:


Bachelor’s Degree or related field or equivalent work experience 

EXPERIENCE:

  • Prefer three (3) years demonstrated success providing administrative support in a dynamic environment.
  • Knowledge of healthcare setting. Excellent customer service, communication, and problem solving skills. 
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat and internet research.
